News Update

September 28, 2022

The CCSO office will relocate to UG101, 1/F, Composite Building on September 29, 2022. Normal service will resume on September 30, 2022 with opening hours from 9:30am to 5:30pm, Monday to Friday.

September 22, 2022

The HKU Facilities Booking System (HKUFBS) for campus facilities managed by CCSO will go live on September 26, 2022 at 12:00nn. Student societies can make booking request via HKUFBS for activities from October 1, 2022 onwards. 

 

July 4, 2022

Given the large volume of registration applications received near the end of the grace period on June 30, it will take longer than anticipated for CCSO to process the application. 

To facilitate the booking arrangement with various units of the University during this interim, student societies listed on the tentative registration list (which is subject to further amendment and final approval) are allowed to book campus facilities/equipment until the results of the registration application have been announced. This list will be shared with CEDARS, Examination Office and Centre for Sports and Exercise for reference.

Student societies will be notified of the results of the registration application in due course. After the results announcement, only student societies that have successfully registered with CCSO will be eligible for the continued use of campus facilities and resources that require booking.

Registration of Student Societies

Under the framework of the Code of Conduct for Student Organizations at The University of Hong Kong, student societies must be registered with CCSO to have access to resources and facilities provided by the University. Booking of Campus Facilities

For facilities managed by CCSO:

Registered student societies may submit booking requests for campus facilities managed by CCSO via the HKU Facility Booking System (HKUFBS). For further details, please refer to the documents below:

For other campus facilities:

  • Booking of activity rooms at the Amenities Centres and Open Spaces
    Bookings are made via CEDARS following existing procedures. More details are available here
     

  • Booking of central classrooms and event halls
    Bookings are made via the Examinations Office following the existing procedures. More details are available here(Please note that a verified student society chop in physical form is required for booking requests made to the Examinations Office.)
     

  • Booking of audio visual equipment
    Bookings are made via the Learning Environment Services following existing procedures. More details are available here.
     

  • Internal Group Booking of Sports Facilities
    Bookings are made via the Centre for Sports and Exercise following existing procedures. More details are available here.
     

  • Booking of banner and publicity sites
    Bookings are made via CEDARS following the existing procedures. More details are available here.

Booking of External Venues

For booking of external venues requiring advising or certification letter from the University, student societies may send their requests to CEDARS at cedars@hku.hk.

Use of Notice Boards

Registered student societies may post posters on any free space on notice boards managed by CCSO. The list of notice boards and their locations can be accessed here. For further details, please refer to the Guidelines on the Use of Notice Boards.

Parking E-coupon

Parking E-coupons are provided for student societies to waive the parking fee of their VIPs or visitors paying visit to the University for official business. Student societies may purchase parking E-coupons from CCSO in person at the cost of HK$20 each. For further details, please refer to the Guidelines on Parking E-coupon Usage.

Bulk Email Request

Student societies may submit their bulk email requests at http://wp.cedars.hku.hk/form/socbulkemail by the daily cut-off time of 4:30pm on working days. For details, please view the Guidelines on Bulk Email Service for Student Societies.

Mail Collection Service

CCSO provides mail collection service during office hours. Student societies may receive mail via CCSO. Please refer the correct recipient address below:
